Minutes of the Meeting

1. Call to Order
Howard Aschburner called the meeting to order at 3:00 P.M.2. Attendance
The following members were present:

Minutes of March 13, 2002 were approved as distributed.4. Treasurer's Report
Mike Manfre reported that the budget has been converted to a Golfview account. Our checking account has been closed and a new one will be opened in the name of Golfview Activity Committee. Dennis Catoe will generate monthly reports from the information given to him by Mike Manfre.We will operate pretty much as in the past. If someone needs to be reimbursed, just give Mike your receipt(s) and he will reimburse you out of petty cash. If the amount is more than he has in petty cash, he will contact Dennis Catoe who will issue a check the following day. Advance monies for parties will be handled the same way.
Whenever anyone wants to review the expenses of the Activity Committee, all they need to do is ask Dennis Catoe to show them the budget book for the Activity Committee.
5. Reports from Committees
Remembrance Committee
Faye Froehlich reported that a plant was sent to Clem Ruotolo in Connecticut on the death of Doris Marshall.Faye told members that Marge Gotro was resigning from the committee because she will be moving. She thanked Marge for her work and assistance on the Committee. We now need someone to come forward to take Marge's spot on the committee.
Finally, Faye asked if the Activity Committee would pay for a phone card to cover long distance calls the Remembrance Committee members make in order to arrange for floral arrangements outside of the city. Mike Manfre stated that the Activity Committee was financing the Remembrance Committee and that expenditure would be reimbursed. The committee will vote to approve this expenditure at the fall meeting.
6. Old Business
St. Patrick's Day Party
Howard Aschburner reported on the expenses of the St. Patrick's Day Party. 120 tickets were sold at $8.00 for a total of $960.00. Proceeds from 50/50 was $170.00. After expenses of $808.00 a profit of $322.00 was reported.Howard was concerned because he was unable to give the above report from the new budget sheets because some information was missing. It will take us all a little time to get used to the new accounting procedures.
End of Year Party
Louise Cannizzaro reported that 120 tickets have been sold at $5.00 each for the End of Year Party which will happen Sunday, April 14 from 4:00 - 6:00 P.M.4th of July Party Update
Margaret Stokes reported that she was not going to coordinate the 4th of July Party this year. People are needed to cook the food, set off fireworks and clean-up. Only 2 people have volunteered to help this year. Mike Manfre asked why did we have to have a cook-out. Couldn't people bring their own food and just watch the fireworks? Margaret stated that they have had a cook-out for the past couple of years and she wanted to continue as it has been. At last year's party 40 people were in attendance. Some ate the food and then left to watch the fireworks from their condos. Others stayed and watched the fireworks and left before clean-up. This left the clean-up to the same small group that always sticks around to help.As of now there will be no party. If enough people come forth to help, Margaret might reconsider.

We are still looking for someone to take over coordination of the sale of Entertainment Books.Pancake Assistant Coordinator
We are also looking for someone to work as an assistant pancake coordinator for the next year and then take over as coordinator the following year.Bazaar Update
Betty Brice reported that many donations had come in already. The rummage room will be open next Tuesday, April 16, from 3:00 - 4:00 P.M. After that date you'll need to contact Betty to make arrangements to drop off items. Betty will be here until May 15. Kitty Nagy will be the contact after that date.The Committee agreed upon the date of March 22, 2003 as the date of the Bazaar.
Still are looking for chairpersons for the advertising committee and the parking committee.
A raffle will be part of the Bazaar. We need someone to coordinate the raffle.
Members were reminded that the volunteers do not need to be members of the Activity Committee. They were asked to check with people in their building and try to find people to fill many the spots we have open.
7. New Business
Bulletin BoardsNew Committees for Next Year
Holly O'Connor offered up a couple of suggestions regarding the bulletin boards.1. Buildings have the authority to decide what is posted on their boards and for how long.
2. Whenever possible, try to use a half sheet of paper for your notices
3. Community-wide sign-up sheets for events such as Donuts and Pancakes should be put up no more than one week ahead of time. Sign-up sheets for things like bus trips and cruises, which might need to be posted for a longer period of time, should be posted in the clubhouse, with a note on each building's board explaining the trip and where to sign up.
These suggestions were agreeable to all. (We should vote on this in the fall.)
Bocce Ball
Faye Froehlich reported that Bert DiDonato was unable to attend today's meeting, but he asked her to report on Bocce Ball. Last Tuesday night there was a Bocce Ball demonstration. A grassy area the size of a bocce ball court was cut short by the maintenance crew. About 45 people showed up for the demonstration and had a good time. This grassy court is what is recommended for next year. The area can even be planted with rye grass and would make for a smooth court. Bert purchased a set of Bocce Balls for about $50.00 for the community to use. He is requesting reimbursement. Because of action taken at the March meeting, we cannot approve this expenditure until the fall meeting. A lot of discussion centered on why we could not pay Bert now. It was suggested we have another meeting in May to approve this. By a show of hands it was determined that there would not be very many people available for a May meeting. The decision stands, that we will discuss this reimbursement in the fall.Holly O'Connor suggested the following new committees for next year. She asked members to think about them over the summer and a decision will be made in the fall:
Computer Club
People could come together to discuss computer problems they are having, shortcuts learned, etc. We might even set it up so week one the WEB TVers could meet; week two people with windows could gather; week three would be for Mac users; and week four could be for everyone -- maybe we could bring in a speaker.Grandma's Closet
Might not be a committee but an individual who would get Grandma's Closet off the ground. Keep track of the baby furniture which has been donated to the closet and also of the furniture that individuals have to lend out.Photo Gallery
Again this might be an individual who would purchase, with activity committee funds, a couple of disposable cameras and either take pictures of some of our activities to be posted on these bulletin boards which we purchased to show off what we are doing., or make the cameras available to different activities so they could take their own pictures. Then the cameras would be turned in to be developed, again with activity funds.Book Review Club
This is self explanatory.CPR Training
Would be good to know who in each building is trained in CPR; provide opportunity to update their training; and offer training to others who might be interested.Activities Directory
Holly O'Connor suggested putting together an Activities Directory which would include a description of each activity, the day and time it meets, fee if any, and who to contact with questions. This could be given to all current owners, new owners and renters. From this document a single page calendar could be put together which would list on-going weekly events. This could be put on all bulletin boards and would eliminate the need for many of the notices which take up room on the bulletin boards. Suggested that people might want to start working on this information over the summer.Other New Business
Ruby Sprague has resigned from the Travel Committee because she will be moving. The cruise which is scheduled for next February is still going to happen and those prices will remain as listed. Margaret Stokes volunteered to take over this committee. Mike Manfre also volunteered. They will work together.Serena Momaerts has resigned as co-chair of the Garden Club. Jim Markusen of Westchester will take over her position. He and Polly Brenner will be co-chairs of this group.
Tom Duffey stated that the Board of Governors has had a hands-off policy regarding the Activity Committee in the past. He is asking the committee members to give some thought over the summer to the possibility that this committee might become an appointed committee of the Board of Governors. We should come up with some suggestions as to how the committee should be named/appointed.
Howard Aschburner asked the committee how much money should be in the petty cash fund. It was moved and seconded that $100.00 be the amount in petty cash.
Howard Aschburner and Mike Manfre were concerned with what will happen with the monies which were in the checking account which was closed. Who would open the new account. Tom Duffey suggested that Dennis Catoe would do it and they should talk with him.
