Minutes of the Meeting
Wednesday, April 14, 2004
3:00 P.M.


1.    Call to Order
Marge Gotro  called the meeting to order at 3:00 PM.

2.    Attendance

3.   Approval of Minutes
Kay Yanochko reported that the Red Hat Society went to Kelly Greens and then are going to Naples this month.  This needed to be changed in the minutes for February 11th.  Minutes approved with this change made.  Changed under Red Hat places to go next Kelly Green and then to Naples.

4.   Treasurer’s Report
Mike Manfre was not present for meeting.  No Treasurer’s report given.

5.     Reports from Committees
Coffee/Donuts- committee person not present.  No report on last coffee.

Pancakes- $234.00 was made on last pancake breakfast in March. 

Red Hat Society- The society will be going to Naples Phil Harmonic and a luncheon  in April. They have increased their ranks with 2 more new members.

AED Update- the AED has been installed on the wall in the clubhouse.   Jim Markusen not present to give any more new information.  A suggestion was made to place a notice on each building Bulletin Board to notify residents of the location and who trained how to use the AED.
 
Cookbook Update- Louise Cannizzaro reported 398 people have signed up to purchase the cookbook. The committee is still in the editing process. The cookbook will be ready for the publisher in June. Approximately 400 recipes will be in the cookbook. The committee hopes to sell cookbooks during the craft fair and to outside people.

Craft Fair/Bake Sale/Basket Raffle Update  - Jan Booker reported that the date has been set for the next Craft Fair.  The Fair will be held Feb 2005.  Crafters are already at work and are reminded to continue making items for fair.

Newsletter – Dorothy Rasicci, the editor, reported the newsletter was delivered to building presidents on or before March 30th.  500 copies of the 12-page newsletter were printed at a cost of $219.12. There was a profit of $80.88 realized after the cost and the ads from Jim Higgins and Jeff Ranalli.  Each paid $150 for their ads. The newsletter was printed by the High Tech Central (a Lee County vocational school) at 3800 Michigan Ave. (239-334-4544) under the guidance of Graphic Design instructor, Kevin Glaser.  Dorothy thanked those who helped with the newsletter.  Tom Duffey, getting ads, Ann Duffey, article on Freddie, Vince and Holly O’Connor with contacts and pictures, and Gene Penix for his pictures. Dorothy also informed the committee that she would be moving from Golfview. 

St. Patrick’s Day Party- Howard Aschburner reported on the dinner/party sold 73 tickets @ $10 each.  They sold 50/50 tickets and made $70 for a total of $800.  The caterer was paid $760 and there were $40 in additional expenses.  The committee broke even.  The party was hosted by St. Andrews and Inverness.

Dance - Evening with Buddy Smith- Not many tickets sold, but did break even.  The people who were there, stated they enjoyed the evening and hope to have him back in future.  It was suggested possibly for the Welcome Back Party.
 
End-of-Year Party w/TOMMY O - Louise Cannizzaro reported for Mike Manfre that 156 tickets were sold @ 8 each for a total of $1248.00 the expenses for food were $258.56 and TOMMY O charged  $936.  A question was raised to see a copy of contract for Tommy O and checked for the amount of time he was supposed to play. A suggestion was made to have 3 or 4 buildings host the large parties like the End of the year instead of just two.  More people were needed for setting up and breaking.

Other Committee Reports

Remembrance - Mickie Flanders the committee sent $45 to the Diabetics Foundation in the name of Hank Grothe. 

6.    Old Business

Toaster for Coffee Day- Ann Cabral will look into getting commercial type toaster from used restaurant equipment store.
 
 Kitchen Update- new counters, cabinets and refrigerator have been installed.

Plastic Storage Containers – new large containers in clubhouse for storage of building special events such as: St. Patrick’s Party, Valentine’s Day Party etc.

Party Evaluations – Parties seemed to be liked.  No negative comments. Marge Gotro reported twenty-four (24) evaluations were completed for activities and parties this year.

Other Old Business
Margaret Stokes, Mickie Flanders and Donna Wasem wanted the building sign-up for activities list changed  to reflect that the 4th of July Party is not hosted by a building, but rather by a committee.  They are the chairpersons of said 4th of July committee. 

7.    New Business

Procedure for Reserving Clubhouse Dates on Calendar- Dennis suggested that no reservations be made until Jan 15th.  Suggestion  made that buildings should vary nights, and not take all Sat. nights.  Also vary type of event, have brunch, cookouts, etc. Faye Froehlich said some buildings have been accused of taking all the Sunday dates.  A building only takes one a month, which may have been one Sunday each month, but not all the Sundays on the calendar.   It was suggested a lottery meeting, with a representative from each building present, be held in March 2005 to pick dates for each building.  This system would make it fair for each building.   It was recommended  this system be discussed in the Fall-November meeting for possible approval by the committe.

Entertainment Events:
Continue Next Year?  Who do we want back?  TOMMY O; Del Prados; Celtic
Stew; Buddy Smith; other? -  Committee unanimous that all the groups were good and should be back.

How to sell tickets?- Ernie Paoletti made a motion for building reps to handle tickets sales, keeping it the way it is now.  The motion was seconded by Kay Yanochko.  Motion passed.

 Should we make a bigger profit? Tom Duffey felt that the purpose for the entertainment is entertainment and not for us to make a profit.  If we happen to make a profit, it’s ok.  Question raised for liability of performances.  Do entertainers have their own liability insurance?

New white ice chests are to be stored in the table/chair closet.

Other New Business
Sign-out for borrowed items -It was suggested a sign-out clipboard for tables, chairs or any other items borrowed from the clubhouse, be placed in the meeting room.  The form should include  the borrower’s name,  phone number,  item borrowed, date borrowed and expected return date.

Cleaning the clubhouse - Ernie Paoletti stated that the clubhouse was not very clean before Sawgrass’s March 18th potluck.  They reported this to Dennis. 

Vacuum Cleaner - Some committee members stated that the vacuum cleaner has not been doing a good job in cleaning the floors and rugs.  It was suggested that an industrial type vacuum may be needed and should be brought to the attention of Dennis.
 
Food Left in Refrig - Food should not be left in the refrigerator  after a function. The new refrigerator  is in the kitchen.  The old refrigerator  was to be placed in Duane’s office.  Dennis said it couldn’t.   Committee members want to check why the refrigerator can’t be put in Duane’s office. 

4th of July Party Funds - Margaret Stokes requested $120 for fireworks for the 4th of July party
